Policies for Phoenix Elite Field Hockey Club

At Phoenix Elite Field Hockey Club, we believe that field hockey should be for everyone. Regardless of your age, experience, ethnicity, or background, you’re welcome to be a member of our club if we feel that we can help you. We are open to any and all.
As a Phoenix, we want you to enjoy the best possible coaching in a professional, fun environment. We’re a family—and we want you to be part of that.
1. General Code of Conduct
All participants—athletes, families, and coaches—are expected to uphold the values of respect, teamwork, sportsmanship, and inclusivity. These values form the foundation of the club’s culture and guide all interactions, both on and off the field.
Our Beliefs and Expectations
Membership in our club is a privilege, and members are expected to behave in a professional and respectful manner whenever they represent Phoenix Elite Field Hockey Club. This includes respect for teammates, opponents, officials, coaches, parents, and spectators. Friends and family of our members are also expected to uphold these standards.
Failure to adhere to these expectations by players or their families may result in disciplinary action, including potential expulsion from the club. These decisions are at the discretion of club representatives.
Membership Criteria
- Adherence to Club Policies
All members must comply with club policies as outlined in this document. - Payment of Club Dues
Members must ensure full and timely payment of club dues. If financial difficulties arise, families are encouraged to speak with club representatives to arrange alternative payment plans confidentially. - Welcome Session Attendance
New members must attend an official welcome session or participate in a training session with a $40 fee, which will count as their official welcome. - Required Equipment
Members must bring their own indoor/outdoor field hockey stick, mouthguard, and shin guards to every session. Failure to do so will result in ineligibility to participate in that session. - Uniform Purchase
All members are required to purchase and wear an official Phoenix Elite uniform. Uniform payments must be made in advance and are non-refundable. - Attendance at Training Sessions
Members are expected to attend all training sessions. Missing more than three sessions without valid reasons may result in membership termination without a refund. - Tournament Participation
Members must provide notice if unable to attend a tournament. Failure to do so may result in termination of membership. Additionally, more than three unexcused absences during any season can result in tournament team or showcase team removal.
2. Athlete Policies
- Attendance and Commitment
- Attend all scheduled practices, games, and events unless prior notice is given.
- Arrive on time, prepared with equipment, and maintain a positive attitude.
- Sportsmanship
- Respect teammates, coaches, referees, opponents, and spectators at all times.
- Avoid unsportsmanlike behavior, including taunting, arguing, or engaging in altercations.
- Academic Balance
- Maintain a healthy balance between academics and athletics to ensure personal growth.
- Substance-Free Environment
- The use of drugs, alcohol, or tobacco is strictly prohibited.
- Social Media Conduct
- Avoid posting negative or inappropriate content related to the club, teammates, or opponents on social media.
3. Family Policies
- Supportive Environment
- Families are encouraged to provide positive reinforcement and respect all participants and officials.
- Game Day Etiquette
- Refrain from coaching from the sidelines or disputing referee decisions.
- Cheer respectfully to foster a supportive atmosphere.
- Communication with Coaches
- Address concerns respectfully through scheduled meetings or emails. Avoid confrontations during or immediately after games. Any unscheduled confrontations with directors or coaches inside of one hour before, any time during, or inside of one hour immediately after any games or tournaments will result in removal from the club.
- Volunteerism
- Families are encouraged to support the club through volunteering, fundraising, or other contributions.
4. Coach Policies
- Professional Conduct
- Coaches must act as role models, demonstrating fairness, respect, and integrity at all times.
- Athlete Development
- Focus on holistic athlete development, including skill-building, teamwork, and personal growth.
- Provide fair opportunities for all athletes, regardless of skill level.
- Safety and Well-Being
- Prioritize the physical and emotional safety of athletes during practices and games.
- Address injuries promptly and follow proper recovery protocols.
- Communication
- Clearly communicate expectations, schedules, and feedback.
- Maintain respectful and professional communication channels.
- Inclusivity
- Foster an environment where athletes of all backgrounds feel welcomed and valued.
5. Conflict Resolution Policy
- Reporting Issues
- Concerns or complaints should be reported to the club’s Co-Directors through in-person meeting or phone call only.
- Investigation and Mediation
- All issues will be reviewed objectively, and mediation will be offered as necessary.
- Confidentiality will be upheld throughout the process.
- Disciplinary Actions
- Violations of club policies may result in warnings, suspension, or dismissal, depending on the severity of the infraction.
6. Additional Policies
- Cancellation Policy
- The club will provide timely notice for schedule changes, and families are expected to do the same for absences.
- Inclusivity and Diversity
- The club celebrates diversity and is committed to providing equal opportunities for all athletes, regardless of gender, race, religion, or ability.
